Are you planning the ultimate Christmas party this winter? Whether it’s an at-home gathering, a work dinner with the whole team, or a get-together with lots of extended family and friends, these are the 5 Christmas print essentials that you can’t do without when organising the event of the season.
Save The Date’s
Don’t make the mistake of thinking that Save the Date’s are reserved exclusively for weddings and other formal occasions. They are a great way to let people know that you are organising an event and can be sent out ahead of the official invitations to make sure that all your guests keep the day free.
Everyone’s calendars are booked up weeks in advance during this time of year, so as soon as you know the date, it’s time to let people know which day the Christmas get-together will be taking place. This then gives you plenty of time to find the perfect venue and make the rest of your preparations without rushing to send out a formal invitation.
Top Tip – Aim to have these sent out by the end of November. This may seem early, but any later and you risk them going unnoticed under a pile of Christmas cards on the doormat!
Invitations
Now that your guests have been given advanced notice of your event, it’s time to follow this up with all the details they will need. This includes the usual – the date, time, and location – but it’s also polite to add in any additional information that your guests will need to know.
If you have been tasked with organising this years’ ‘works do’, then you have no doubt chosen a great local venue, but does this place have parking? Are partners and spouses invited? What is the dress code? These are all questions that you will be asked, so answer them ahead of time by including as much detail as you can around the festive imagery and seasonal sparkles – and get in touch with us for invitation printing that will make your guests say yes in no time!
Top Tip – Don’t forget to include RSVP cards in the envelopes – or at least a phone number on the invitations themselves – to confirm numbers.
Festive Decor
Whilst there will be no shortage of Christmas lights and baubles in your local shops, now is the time to make your decorations a little more personal with printed posters, signage, and even banners.
At Russell Printers, we offer all the Christmas print services that you will need to make your event the talk of the season, so what do you have in mind? Posters detailing company achievements or goals that have been met this year? A large banner above the doorway thanking employees for their continuous hard work? Maybe even a personalised backdrop for the photo booth!
Finally, if you take Christmas get-togethers extra seriously at your company and invite everyone to celebrate together, then it’s a good idea to go for a roller banner in the foyer of the building to welcome attendees from different departments and sites, and to direct them to the private function room.
Top Tip – Don’t just save your printed decor for the big day – hint at what’s in store in the run-up to the event with eye-catching posters around the office (particularly helpful if anyone has forgotten to RSVP!).
Name Cards
Not every event needs to include a sit-down meal (who can resist a buffet at Christmas?!) – but if yours does then name cards will help everyone to take their seats without any delays when it’s time to eat.
Like all the best Christmas print essentials, name cards aren’t just practical. They are also a great way to make your attendees feel special and valued; an effect that is felt most strongly at large corporate events where every attendee’s place setting has been prepared with care and no one has been left out.
Finish off the setup with a seating chart at the door to direct everyone to their seats and you have everything you need for a great night of socialising and celebrating.
Top Tip – Why not add a sensory element to your name cards – maybe a red ribbon in the corner, or a miniature craft bauble – for an extra special keepsake?
Menus
Hosting your nearest and dearest and keen to show off your Christmas cooking skills? Complete your at-home tablescape with printed menus at everyone’s place, or go for a large menu on a stand at one end of the table so everyone can see what’s included in the festive spread.
However, if the event is catered, then the menu will need to be confirmed with the catering team well in advance. This might mean that you’re not able to enclose a menu in your original invitations, but once you have decided upon the delicious dishes that it will include, it’s time to contact us to have plenty of them professionally printed ready for your event.
Top Tip – Whether you include a menu in your initial invitations or not, don’t forget to ask your guests about their dietary requirements, and include a space in the RSVP card for them to include this information.
